Gradebook to Gradebook Copy

Information created in one gradebook can be copied to one or more gradebook using Gradebook to Gradebook Copy. These items can be copied from other existing gradebooks or from gradebooks used last term or last semester. Click Edit Gradebook to Gradebook Copy.

To copy from one gradebook to another:

  1. From the Window menu select the source gradebook to Copy From.
  2. Select Edit > Gradebook to Gradebook Copy.
  3. In the dialog box that appears, select the source gradebook to Copy From.
  4. Select the destination gradebook(s), to Copy To.
  5. Select the item to copy from the list, which includes Grade Symbols, Grade Scale, [Student] Data Fields, Attendance Codes, QuickNotes, Test Descriptions, Class [Information] Fields. Score Footnotes, Weighting, Term Start Dates, Grading Preferences and Student Roster. Depending on the item, further selection may be required to specify how the information is treated. (Explained in more detail below.)

Grade Symbols and Attendance Codes

  • Add/Update. Add new items from the source gradebook to the bottom of the list in the destination gradebook.
  • Add/Update and Delete items not in use. Add new symbols or attendance codes to the bottom of the list and delete any symbols or codes that are not found in the source gradebook and are not being used in the destination gradebook.

Data Field Names and Class Field Names

  • Add/Update. Add new items to the bottom of the list.
  • Replace All. Replace the destination gradebook list with the list from the source gradebook. This will overwrite the destination gradebook list.
  • Add/Update and Delete old items that are not in use. Add new items to the bottom of the list and delete field names that are not used. If a student in the destination gradebook has information entered in the data field, or there is information in the class field, the field will remain in the destination gradebook.

Test Descriptions

Another dialog box is displayed where either all test descriptions (Select All) or specific ones to copy to the destination gradebook can be selected.

QuickNotes

New QuickNotes will be added to the bottom of the list in the destination gradebook and none will be deleted.

Grade Scale

The scale of the source gradebook will replace the scale in the destination gradebook.

Student Roster

  • Only copy name and ID. Copies names and IDs for all selected students from one gradebook to another.
  • Include Student Information Data and Seating Charts. Copies names, IDs, student information and seating charts.
  • Include Student Info Data, Attendance Data, Seating Charts and Test Data. Copies names, IDs, student information, attendance data, test scores and seating charts.
    • In order to transfer attendance data, (1) set the first day of class in the destination gradebook to match that in the source gradebook, and (2) ensure that vacation days in the destination gradebook match those in the source gradebook.
    • In order to copy test scores to existing test columns, the test information in the source gradebook must exactly match the test information in the destination gradebook. Any tests that do not match exactly will be transferred to newly created test columns.
    • In order to copy the seating charts, the gradebook must be new. The seating chart can not be copied to an existing gradebook that already has students added.

Lesson Plans

  • A dialog box is displayed where either all lesson plans or specific ones to copy can be selected. (Selected lesson plan(s) is highlighted in blue) All information related to the selected lesson plan(s) is copied to the destination gradebook.

  • If there is a lesson plan selected for copy from the source gradebook, and there is already another lesson plan with the same name in the destination gradebook, the lesson plan will still be copied over, and there will be 2 lesson plans in the destination gradebook with the same name. To replace a lesson plan in the destination gradebook, delete the plan that will be replaced, and then copy the plan from the source gradebook.
  • If there are skills attached to lesson plans that are copied, they will be copied to the destination gradebook as well. If there are already skills in the destination gradebook with the same name as the skills being copied, they will not be copied over, and the skills with the same name in the destination gradebook will be attached to the copied plans.

  • Add/Update. Add new items from the source gradebook to the bottom of the list in the destination gradebook.
  • Add/Update and Delete Old Items Not in Use. Add new symbols or attendance codes to the bottom of the list and delete any symbols or codes that are not found in the source gradebook and are not being used in the destination gradebook.

Term Start Dates

All dates will be replaced with ones transferred.

Grading Preferences

All settings will be transferred.

Weighting

All weights will be transferred.

Standards & Skills

  • Add Skills.
  • Replace All with selected Skills.

Either of these options will display a confirmation message. Click OK if you want to proceed.

Click Yes to the message to show a list of all skills in the source gradebook.

Select the standards and skills you want to copy. Or, you can use the Select All button to select all standards and skills.

Click OK to complete the copy. The selected contents of the source gradebook have been copied to the destination gradebook. The Gradebook to Gradebook Copy process can be repeated to copy additional information.

Copy to Multiple Gradebooks

If you need to copy to several gradebooks, you can do so by holding down the Ctrl key to select multiple gradebooks.
