Attendance Options

With the Attendance options available in the Settings page of My Gradebooks, you can enter the grading start date, determine if you are using separate morning and afternoon attendance tracking, set start dates for each grading term, and manage tardy and absent codes for attendance tracking.

Some options may be locked by your Gradebook Manager, and others may require you to set another feature first. Any features locked out or unavailable to you will be grayed out or the fields will be read-only, and you will not be able to change the setting. Any options that are dependent on another will display a message letting you know what needs to be changed.

How to Set Start Dates

Any time you want to set the start dates for the first day of school, or for the start of different grade terms, you need to open the Settings page.

  1. Click Settings from the My Gradebooks toolbar to open the Settings page.
  2. Click the Attendance tab to access all the Attendance options.
  3. Click Start Dates from the list of Attendance options to access the Start Date settings.

How to Set the First Day of School and AM/PM Classes

You should set the first day of school at the beginning of the year. You can also take morning and afternoon attendance separately. AM/PM Attendance is intended to track attendance twice a day in the same class gradebook. If you have separate gradebooks for Math in the morning and Reading in the afternoon — even if the students are the same — you should track attendance in each gradebook. When AM/PM attendance is enabled for a gradebook, a Morning/Afternoon toggle will appear in the Attendance page for you to select the type of attendance you are entering.

If you change the date of the first day of class during the school year, any attendance codes you have already entered in the Attendance page will be cleared.

  1. Click Edit Settings to enter the first day of class and to set AM/PM attendance.

    A warning will appear when you click Edit Settings. If you change the first day of class or the setting for AM/PM attendance, you will lose any attendance tracking you have already entered. Click Continue if you still want to make the change.

  2. Select the date of the first day for the class gradebook.
    Be sure to select the first date you want to use for attendance tracking.
  3. To record morning and afternoon attendance separately, select the Enable option for Record both AM and PM Attendance.
  4. Click Save on the dialog.
  5. If finished changing the Start Dates, click Save on the Settings page.

How to Set Term Dates

After you have set the first day of class, you must set start dates for all terms you want to use in your gradebook. Your gradebook automatically assigns terms for new assignments according to the term start dates you have set.

The term start dates only affect new assignments added to the gradebook after the dates have been set.

  1. For each Term number, select the first date of the term from the calendar available in the Start Date box.

    When you modify an assignment’s term or date, or when you reset term dates that affect existing assignments, you will receive a warning if assignment dates fall outside of the revised range of term dates. You will need to correct either the term or date of the assignment, or the start date for the term.

  2. If finished changing the Start Dates, click Save on the Settings page.

How to Set Attendance Codes

You can update the absent and tardy codes already set up by your school to record attendance in the Attendance page, or create new codes.

  1. Click Settings from the My Gradebooks toolbar to open the Settings page.
  2. Click the Attendance tab to access all the Attendance options.
  3. Click the Attendance Codes to access the Attendance Code settings.
  4. Click Add Tardy Code to add a code for when students are late, or click Add Absence Code to add a code for when students are absent.
  5. Type the Code. The code can be one to four characters in length, and it can be set using numbers and/or letters.
  6. Type the Description for the code.
    This description will appear on attendance reports and with attendance information on student reports.
  7. Check Code not counted in Totals if you do not want the type of tardy or absent excuse to count against the student's totals.
    For example, you may want excused absences to not be included in the total. The codes will still export.
  8. Click OK to save the changes.

How to Change a Code

  • To edit a code, double-click in the Code box in the table row and type the change.
  • Double-click the Description box to enter a new summary for the code.
  • Check or clear the Not Counted box to determine whether or not the type of tardy or absence will count against the student's totals.
    These codes will still export.
  • Click Save when finished.

How to Delete a Code

If you delete a code that is currently used in your gradebook, the gradebook will be updated to mark the student as present.

  • To remove a code, highlight the row of the code from the table, and click the Delete icon that appears in the Not Counted box.
  • Click Save when finished.
