Seating Charts

Teachers can create a seating chart directly in My Gradebooks. Many teachers have found the chart to be especially helpful when first learning the names of students. You can also use the seating chart while taking attendance.

  • From the Views list, select Seating Chart.

How to Add a Seating Chart

You can add several seating charts per class for different projects, or for new quarterly groups.

  1. From the Seating Chart page, select the Class where you want to create a chart.
  2. Click New Seating Chart.
  3. In the New Seating Chart dialog, type the Seating Chart Name.
  4. Set the Layout Options:
    • Choose from the seating chart designs available in the Layout list.
      The default option is Grid, but other options include Circle, Semi-Circle, and Hollow Rectangle.
    • If you chose the Grid layout, select the number of Columns to include in the chart.
  5. Set the Display Options:
    • Select how to display the student name from the Student Name Format list. Options include Full Name (default), First Name, or Last Name.
    • Select Display Student ID to include the student's Edline identification code.
    • Select Show Teacher Desk to include the teacher's desk within the seating chart.
  6. Click Create to add the new seating chart.

How to Update Seating Chart Preferences

If you need to change the student information displayed, or whether or not the teacher desk will be included, you can update the preferences for the seating chart.

  1. From the Seating Chart feature, select the Class and the Seating Chart to update from the lists available.
  2. Click the Preferences icon, and select Settings from the menu.
  3. On the Edit Seating Chart dialog, change any of the following settings:
    • Update the Seating Chart Name.
    • Change how to display the student name from the Student Name Format list. Options include Full Name (default), First Name, or Last Name.
    • Select or clear Display Student ID to include or removed the student's Edline identification code.
    • Select or clear Show Teacher Desk to include or remove the teacher's desk within the seating chart.
  4. Click Save to update the seating chart.

How to Rearrange Students in the Seating Chart

When you build your seating chart, students are automatically placed in alphabetical order. You can rearrange any desks in your seating chart.

  1. From the Seating Chart page, select the Class where you want to change the chart seating.
  2. Click Rearrange.

  1. Determine how to change the seating chart:
    • Move any desk to rearrange the seating chart. For example, you can create small groups of desks for special projects.
    • To delete a seat, or to remove a student from a seat, click the Delete (x) icon available in the seat.

      Click Remove Student to clear the student from the seat (for example, you might want to switch a couple of students' seats). Click Remove Seat to remove not only the student but the desk location also.
    • To add an empty seat to the chart, click Add Empty Seat. An empty seat will be added to the chart which you can move to the correct location.
    • To add a student to an empty seat, click the Add (+) icon available in the seat.

      Select the student to add to the seat, and click Choose.
      Only students not currently assigned to a seat will be available from the drop-down list.
  2. Click Save when finished.

How to Take Attendance in the Seating Chart

Many teachers find it is easier to take attendance from the seating chart.

  1. From the Seating Chart page, select the Class where you want to take attendance.
  2. Click Attendance.
    The date will default to the current day, and all students will be automatically marked as present.

    If you need to change the date, click the Calendar icon and select the date.

  3. Click on the student who's attendance status needs to change.
  4. Select one of the Absence Codes or Tardy Codes available.

  5. Click Save when finished.

How to Print the Seating Chart

You can print a hard copy of the seating chart.

  1. From the Seating Chart feature, select the Class and the Seating Chart to print from the lists available.
  2. Click the Preferences File:en-us/Edline/050_Gradebooks/030_My_Gradebooks/080_Seating_Charts/preferences_icon.jpg icon, and select Print from the menu.
  3. From the print preview window, click Print to set your printing preferences.
  4. Change any printing preferences including which printer to use, the number of copies, the paper orientation, and the color.
  5. Click Print.

How to Delete the Seating Chart

You can delete any seating chart you no longer need.

  1. From the Seating Chart feature, select the Class and the Seating Chart to delete from the lists available.
  2. Click the Preferences File:en-us/Edline/050_Gradebooks/030_My_Gradebooks/080_Seating_Charts/preferences_icon.jpg icon, and select Delete from the menu.
    You will receive a warning ensuring the deletion.
  3. Click Delete.
