Download User Information

These features are only available if your school has the Forms and Surveys add-on module for Edline.

District/School super users can download the user’s information into a user.dat file or email.dat, which contains the information configured for the user including the user’s email address, phone number, and student identification code.

How to Download All User Data

The super user can download the complete set of user data, which includes the user name, the student identification codes, email addresses, and phone numbers.

  1. From the menu bar on the homepage, select Tools, and then Manage Users to open the User List page.
  2. Search or filter the Users List page for users you want to download.
  3. Select the users to include.
  4. From the Download menu, select Download User Data to download the user.dat file, which contains the user’s email address, phone number, and student identification code.
  5. Click Save on the Windows File Download dialog and save the file to your computer.

Fields Available in User.Dat File

The user.dat file contains the following format:

"SchoolID","UserID","LastName","FirstName","GradeLevel","UserType","EmailCounter","Email",
"VoiceCounter","Voice","TextCounter","Text","LinkedUserIDCounter","LinkedUserIDs"

The following list describes each field:

SchoolID — School number or unique identifier. Blank if no ID exists.

UserID — The unique identification code of the user in the school’s student information system. Blank if no ID exists.

LastName — User’s last name.

FirstName — User’s first name.

GradeLevel — User’s class grade. Blank if no level has been assigned.

UserType — The type of user in Edline such as student (S), parent (P), teacher (T), or administrator (A).

EmailCounter — Contains the number of email addresses available in Edline for the user. Contains 0 (zero) if no emails are available.

Email — User’s email address. If more than one email is available for the user, each address is separated by a comma (,) within the quotes (“). Blank if no emails exist.

VoiceCounter — Contains the number of voice phone numbers available in Edline for the user. Contains 0 (zero) if no numbers are available.

Voice — User’s phone number. If more than one number is available for the user, each number is separated by a comma (,) within the quotes (“). Blank if no phone numbers exist. The phone number includes the area code without the leading zero (0) or one (1). Non-numeric characters will not be included in the phone number. Phone extensions are not supported. For a US-based phone number, there should be ten digits (three digits for the area code plus seven digits for the phone number).

TextCounter — Contains the number of text message phone numbers available in Edline for the user. Contains 0 (zero) if no numbers are available.

Text — User’s text message phone number. If more than one number is available for the user, each number is separated by a comma (,) within the quotes (“). Blank if no text phone numbers exist.

LinkedUserIDCounter — Contains the number of users linked to the listed user. This field usually contains the number of students linked to a particular parent. Contains 0 (zero) if no linked users exist.

LinkedUserIDs — Contains the user ID’s of the users linked to current user. This field usually contains data for parents with their student’s user ID’s listed in the field. If more than one number student available for the user, each user ID is separated by a comma (,) within the quotes (“). Blank if no linked users exist.

How to Download User Email Information Only

The super user can download the user email information to use for any type of external mass email program.

  1. From the menu bar on the homepage, select Tools, and then Manage Users to open the User List page.
  2. Search or filter the Users List page for users you want to download.
  3. Select the users to include.
  4. From the Download menu, select User Email Addresses to download the email.dat file, which contains the user’s email address.
  5. Click Save on the Windows File Download dialog and save the file to your computer.
