Upload User Contact Information

The district or school super user can import user contact information to be added to the user profiles. Contact information can include emails, phone numbers, and mobile numbers. This option will save your students, parents, and teachers time when updating their user profiles.

The Quick Sync feature available in Edline includes the Standard User Contact Information Upload (es_cti_03) and Standard User Contact Information Upload (es_cti_03~nw) no overwrite formats.

Previous contact file formats that existed include the es_cti_02 or es_cti_01 format. In The Quick Sync tool you will need to select the Miscellaneous Upload File option if planning to stay with the es_cti_02 or es_cti_01 format. Please contact the Blackboard support for Edline if you are required to use the es_cti_02 or es_cti_01 format.
The es_cti_03 format is also supported in LiveLink if you use that tool for uploading data into Edline.

Format of Contact File — es_cti_03

The format of the es_cti_03 file is very flexible, but you must have a header with each columns field - for the fields you plan on using - labeled. All used columns in the file must be labeled. The contact file contains the following fields needed for your header (quotation marks " preferred but not required):

"Phone3","Phone4","ParentPhone","ParentPhone2",

Blank fields are acceptable but missing fields are not. Required fields cannot be blank.

When using the Standard User Contact Information Upload (es_cti_03) option, blank fields will overwrite content users manually entered. Do not include a column with blank fields unless you intend to clear that information on Edline.

Each record must appear on a separate line and all fields must be surrounded by double quotes and preferably separated by a comma. Blanks are accepted, but the required fields must be present:

SchoolID (Required for uploading more than one school) — School number or unique identifier.

UserID (Required) — The unique identification code of the user in the school’s student information system.

LastName (Required) — User’s last name.

FirstName (Optional, but Highly Recommended) — User’s first name.

If your school has unique UserIDs for parent accounts, then you can upload contact information for parents by specifying the parent ID in the UserID field.

Email (Optional, but Highly Recommended) — User’s (usually student’s) email address. Blanks are supported.

Email2— User’s (usually student’s) email addresses. Blanks are supported.

ParentEmail (Optional, but Highly Recommended) — The parent’s email address for the specific user (student). Blanks are supported.

ParentEmail2 (Optional) — The parent's secondary email address. Blanks are supported.

The ParentEmail2 field is a second email address for the same parent — not for a second parent. In the case of split households, Blackboard recommends using the contact information upload for only the first parent before creating a secondary parent account. For the second parent, your district/school will need to manually create an account for them, which can then be distributed either through a traditional activation code, or by manually adding an email address to the account and sending them an activation email.

Phone (Optional, but Highly Recommended) — User’s (usually student’s) phone number. The phone number should include the area code without the leading zero (0) or one (1), but should not include the country code. Enter digits only — non-numeric characters should not be included in the phone number. Phone extensions are not supported. For a US-based phone number, there should be ten digits (three digits for the area code plus seven digits for the phone number). Blanks are supported.

Phone2 (Optional) — User’s (usually student’s) phone number. Blanks are supported.

ParentPhone (Optional, but Highly Recommended) —Parent’s phone number. The phone number should include the area code without the leading zero (0) or one (1), but should not include the country code. Enter digits only — non-numeric characters should not be included in the phone number. Phone extensions are not supported. For a US-based phone number, there should be ten digits (three digits for the area code plus seven digits for the phone number). Blanks are supported.

ParentPhone2 (Optional) — Parent’s secondary phone number. Blanks are supported.

The ParentPhone2 field is a second phone number for the same parent — not for a second parent. In the case of split households, Blackboard recommends using the contact information upload for only the first parent before creating a secondary parent account. If you need to pre-populate a phone number for a second parent account, you may do so by manually adding a second account and then editing it to add the phone number; however, the parent will be able to add their phone number during activation.

You can also include the fields for the Staff Directory Profile upload in the Contacts file. As a result, you will have only one file to maintain for both the contact information and the staff directory information. The fields that can be added anywhere in the Contacts file include Title, Room, PhoneExt, and AboutMe. You will need to upload the file twice. The first time choose User Profile Upload, and the second time choose Staff Directory Profile. To learn more, see Import Staff Directory Profiles.

File Examples

The following is a sample contact information record for a student with a parent:

Standard Upload Vs. Overwrite

The Standard User Contact Information Upload (es_cti_03) option allows you to upload the user contacts while overwriting any existing data. As a result, any user that already exists in Edline will be updated with the email addresses and phone numbers listed in the uploaded file.

The User Contact Information Upload (es_cti_03~nw) no overwrite option allows you to add new contacts only. Any existing email addresses or phone numbers will not be changed in Edline, even if they do not match the file.

You can choose either option. You may want to refresh your system before the beginning of the year by selecting the User Contact Information Upload (es_cti_03) option, and during the year you may want to select the Standard User Contact Information Upload (es_cti_03~nw) no overwrite option, in case users updated the contact data within their Edline account.

How to Upload the Contact Information

When you upload contact information, the data will be added to the user profiles for students, parents, teachers and other staff members. You can upload the contact information manually through Edline (complete the following steps), or if your school uploads data through the LiveLink tool, you can upload contacts through your specific tool.

  1. From the menu bar on the home page, select Tools, and then select Quick Sync.
  2. On the Quick Sync page, click Browse to search for the file that contains the contacts.
  3. In the Type of Data box, select Standard User Contact Information Upload (es_cti_03) to upload the staff directory information while overwriting any existing content, or select Standard User Contact Information Upload (es_cti_03~nw) no overwrite to only add the new contacts.
  4. Click Sync to preview the number of files that will be added.
  5. Click Process to upload the information.

    The upload results will appear.
