Manage and Reuse Existing Content

As the super user of your website, including teachers for class pages and coaches for sport pages, you can:

  • Reuse content from semester or year-to-year
  • Change content
  • Delete content
  • Copy or move content
  • Approve or reject content added to your site
  • Reorder any of the content on your website
  • Resort content by date or type
  • Restore deleted information

How to Reuse Old Class Materials

Edline enables teachers to reuse old content from past classes using the Old Class Materials feature. This feature was designed for teachers who want to reuse their old assignments, events, links, images, or any old class materials from past classes for the next quarter, semester, or year.

Reusing Old Class Materials

  1. From the My Edline menu, under My Content, select Old Class Materials to access the Old Class Materials page.

    Your old materials become available in this folder when your school super user creates the new school year, deletes a class, or creates a new semester. Any time a class is deleted or moved to a past year, the content for that class becomes available in the school archive and the teacher’s Old Class Materials. Using this feature, teachers can effectively copy their entire web page to a new class.
    If you copy a calendar from the Old Class Materials into a new class, use the calendar rollover feature to set the dates to the new year.

  2. Click the name of the class to access all of the old materials.
  3. Select the content to reuse. To select all content, click Select All.
  4. Click Copy for the Archived Class Copy Options.
  5. Determine whether or not you want to copy the class navigation menu to your current classes:
    • Click Copy Items Only to only copy the content to your classes.
    • Click Copy Items and Class Navigation to copy the items and the side navigation menu to your classes.

      Any copied navigation will completely overwrite an existing navigation.

  6. On the Copy Selected Items page, select the classes to copy the information to from the Copy To Groups list.

    To select multiple classes, hold the Ctrl key while selecting the classes.

  7. Click Copy.

How to Change Content on Your Website

You can update the content of a document, folder, link, discussion, form, news item, or group on Edline.

  1. Open the webpage or folder that contains the content you would like to update.
  2. From the Edline menu bar, click Edit This Page to access the edit mode.
  3. Click the title of any document, folder, link, form, or survey, and change the name. To change additional information, click the Edit in list File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/editinlisticon.jpg icon for the Modify Page.
  4. If the content is listed in several group pages, the Apply changes (update or delete) in all locations option will be available. This feature was designed for teachers with multiple classes for the same subject, who need to change all linked copies of an item. Complete one of the following steps:
    • Select Apply changes in all locations to update the content in all locations.
    • Clear Apply changes in all locations to update the content in the currently opened group only.
  5. Click Save and Return to update the content.
  6. Click Done to exit the edit mode.

How to Delete a Document

  1. Open the webpage or folder containing the content you want to delete.
  2. From the Edline menu bar, click Edit This Page to access the edit mode.
  3. Hover over the section that contains the content to delete, and click the Edit in list view File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/editinlisticon.jpg icon to access a list of items.
  4. Select the items that you want to delete. To delete all content, click Select All.
  5. If the item is listed in multiple locations, the Delete in all locations option will be available. This feature was designed for teachers with multiple classes for a specific subject. The feature enables you to quickly delete the multiple copies of the same item. Complete one of the following steps:
    • Select Delete in all locations to delete the content from all locations.
    • Clear Delete in all locations to delete the content from the current location only.
  6. Click Delete. A warning appears.
  7. Click OK to complete the deletion.

How to Copy Content

You can copy from one group (school, class, sport, activity) to another. This feature is especially useful if you did not multi-post a document at the time you created it and want it available (posted) to other webpages you manage. You must be the super user for the group to be able to copy information.

  1. Open the webpage or folder containing the content you want to copy.
  2. From the Edline menu bar, click Edit This Page to access the edit mode.
  3. Hover over the section of the webpage containing the content you want to copy, and click the Edit in list view File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/editinlisticon.jpg icon.

    The system displays the list of contents for that section.

  4. Select the files to copy. To select all files, click Select All.
  5. Click Copy to access the Copy Selected Items page.
  6. Select the groups (classes, sports, activities) to copy the information to from the list.

    To select multiple groups, hold the Ctrl key while selecting the groups.

  7. Click Copy.

How to Move Content

You can move content from one location to another, if you created the content, or you are the super user for the webpage containing the content. This permission is usually available to teachers, coaches, and other super users in charge of group websites.

  1. Open the webpage or folder containing the content you want to move.
  2. From the Edline menu bar, click Edit This Page to access the edit mode.
  3. Hover over the section that contains the content you want to move, and click the Edit in list view File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/editinlisticon.jpg icon. The system displays the list of contents for that section.
  4. Select the content to move. To select all files, click Select All.
  5. Click Move To and access the Move Items page.
  6. If the content is listed in multiple locations, the Move documents in all locations they are displayed option will be available. This feature was designed for teachers with multiple classes for a specific subject. The feature enables you to quickly move the multiple copies of the same item. Complete one of the following steps:
    • Select Move documents in all locations they are displayed to move the content in all current locations to the selected location.
    • Clear Move documents in all locations they are displayed to move only the current content to the selected location.
  7. Select the new location of the content in the Desired Location list. You can select another resource folder.
  8. Click Move Selected Item(s) to update the location of the content.

How to Approve or Reject Content

If your school has set the policy to allow certain user types to add content to your website, you can set the content to be approved or rejected by the super user. Until the content is approved, the content will only be visible to the super user and the author who created the content.

  1. Open the webpage or folder for the content you want to approve or reject.

    Content submitted for approval may be highlighted in yellow depending on the type of content.

  2. From the Edline menu bar, click Edit This Page to access the edit mode.
  3. Click the Edit in list view File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/editinlisticon.jpg icon in the section where the item to approve appears, and open the list of contents.
  4. Approve or reject the content.
    • Select the content to approve, and click Approve.

      For approving online discussion or blog comments, click the Approve this CommentFile:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/approvethiscommenticon.jpg icon.

    • Select the content to reject, and click Reject. Rejected items may be highlighted in red depending on the type of content.

      For rejecting online discussion or blog comments, click the Reject this Comment File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/rejectthiscomment.jpg icon.

How to Reorder the Content of Sections or Folders

If you manage the group (school, class, sport, or folder) you can reorder the content for any section or folder of the webpage, except the Calendar section which lists items by date. This permission is usually available to teachers, coaches, and other super users in charge of webpages.

  1. Open the webpage or folder containing the content you want to reorder.
  2. From the Edline menu bar, click Edit This Page to access the edit mode.
  3. Hover over the section of the webpage containing the content you want to reorder, and click the Edit in list view File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/editinlisticon.jpg icon.

    The system displays the list of contents in that section.

  4. Click Reorder to access the Resource List reorder page.
  5. Type the numerical order of the content in the Order box.

    Any remaining items not numbered will be sorted by alphabetical order according to the name of the content files.

  6. Click Save Order.

How to Reorder the Content of Sections or Folders

  1. Open the webpage or folder containing the content you want to resort.
  2. From the Edline menu bar, click Edit This Page to access the edit mode.
  3. Hover over the section of the webpage containing the content you want to resort, and click the Edit in list view File:en-us/Edline/030_Teacher/050_My_Class_Page_Content/150_Manage_and_Reuse_Existing_Content/editinlisticon.jpg icon.

    The system displays the list of contents in that section.

  4. Click the Modified, Created, or Type column to sort by the specific information.
  5. Click Save Sort.

    You will see warning message ensuring you want to resort the data.

  6. Click OK.
  7. Click Done when finished.

How to Restore Deleted Materials

With Edline, you can restore any content you deleted up to 90 days from the day of the deletion. The items will be placed in the Recycle Bin which is accessible through the Tools menu Manage Group School or Class, and will be visible only to the super user of the page. The Recycle Bin will appear only after content has been deleted. The permission to restore deleted content is usually available to teachers, coaches, and other super users in charge of webpages.

For Edline Web-based Gradebook Users: Edline automatically backs up your gradebook by placing a copy of it in the Recycle Bin at the end of each day you use the gradebook. Edline stores a maximum of 30 deleted gradebooks in the Recycle Bin. At the end of 90 days, or if more than 30 books have been backed up, the Recycle Bin will automatically remove the gradebooks starting with the oldest books first.

  1. Open the webpage or folder where the information has been deleted.
  2. From the Tools menu, select Manage Group (such as Manage District, Manage School, or Manage Class).
  3. Click Recycle Bin in the Management area to access the Recycle Bin page.
  4. Select the content you want to un-delete, and click Restore.
  5. Click OK after the selected items have been restored.
